1.Who we are
This website is run for the 19th Annual Quran Asaan Course 2026 (Seerat-e-Sarwar-e-Alam ﷺ Edition) by [organisation legal name] ("we", "us"). This policy explains what personal information we collect from students and visitors, why we collect it, and the choices you have.
Questions about this policy can be sent to info@quranasaancourse.com or through our contact page.
2.Information we collect
When you register
- Full name and email address
- Mobile / WhatsApp number
- Country, state or province, city and full postal address
- Gender
After you register you receive a Student ID (for example QAC2026-19-01-0001). It is not a password, but keep it private: with your email and name it is used to mark attendance.
When you create your account
You choose a password. We never store it in readable form, only a one-way scrambled version (a hash) that we cannot turn back into your password. We confirm your email address with a link. Staff accounts can also be protected with an authenticator app.
While you take part in the course
- Attendance: which lecture you marked and when
- Exam: your answers, the marks and feedback you receive, and your result once it is published
- Certificate: your name, Student ID, exam and issue date
Technical information
When you sign in we keep your IP address and browser details with your session, so that we can keep you signed in safely and sign you out when you ask. Short-lived counters by IP address help stop automated abuse. Our servers also keep normal technical logs for security and troubleshooting, and staff actions on records (for example corrections, grading and publishing results) are written to an audit log. We use only the cookies the site needs, see our Cookie Policy. Fonts and scripts are served by this site itself, with no advertising or tracking services.
3.How we use your information
We use your information to:
- Record and administer your registration and create and secure your account
- Contact you about the course, including emails to confirm your account and reset your password
- Record attendance, run the exam, mark and publish results, and issue certificates
- Keep the site secure and prevent misuse
- Improve the course and the site
We do not use your information for advertising and we do not sell it.
4.Who can see your information
- Authorised staff (the administrators and the director) can see registration, student, attendance and exam records as far as they need to run the course. Their actions are logged.
- Other students cannot see your profile, answers or marks. The one exception is the leaderboard: after results are published, signed-in students can see the top students' names, scores and results, in separate lists by the gender given at registration. Your Student ID is not shown.
- Anyone with your certificate link or code can verify it. The verification page shows your name, the exam, the issue date and that you passed, and nothing else.
- Service providers. The website and its database run on servers provided by [hosting provider to be confirmed]. An email service sends the account and password emails on our behalf. They handle data only to provide those services.
- Video platforms. Lectures are published on YouTube. Opening a lecture link takes you to YouTube, which has its own privacy policy. We do not send YouTube your registration details.
- Legal requirements. We may disclose information if the law requires it or to protect the safety of students and the site.
5.How long we keep it
We keep registration, attendance and examination records for as long as needed to run the course and answer questions about results, then for [retention period, e.g. 12 months] after the course ends, unless we are required to keep them longer. After that we delete or anonymise them.
6.How we protect it
Records are stored on our own database and can be read only by signed-in staff with the right role. Passwords are stored as hashes, sign-in uses secure cookies that scripts cannot read, repeated failed attempts are limited, and staff accounts can use two-step verification.
No online service can be perfectly secure. Keep your Student ID and password private, and tell us straight away if you think your details have been misused.
7.Your choices and rights
You may ask us to:
- Show you the personal information we hold about you
- Correct information that is wrong or out of date
- Delete your account and data, where we are not required to keep it
- Stop contacting you about non-essential matters
To make a request, contact us using the details on our contact page. We may need to confirm who you are before acting on a request, and will reply within a reasonable time.
8.Younger students
If you are under 18, please register with the knowledge and permission of a parent or guardian. A parent or guardian may contact us to review or delete a young student's information.
9.Changes to this policy
We may update this policy as the course or the site changes. The "Last updated" date at the top shows when it last changed. If a change is significant we will tell registered students.
